Whidbey Coordinator Position


Sound Water Stewards of Island County is a non-profit 501(c)(3) organization founded as an independent, nonprofit organization in 2016. SWS members are trained volunteers working in and around Island County for a healthy, sustainable Puget Sound environment through education, community outreach, stewardship, and citizen science.

Job Title: Whidbey Coordinator, part-time. This is a permanent position with variable hours up to 20-25 hours/week, including occasional evenings and weekends.

Reports to: Executive Director, Board President, or designee (if the Executive Director is unavailable or the position is open).

Working Conditions: Staff work on their own, remotely, however Whidbey and Camano staff and board collaborate on a frequent and regular basis to ensure the organization’s work moves forward.. A shared office space on Whidbey Island is available to staff. Staff need their own transportation. Mileage is reimbursed for required travel in the course of work (not including coming/going to/from work).

Wages & Benefits: Salary range is $18-22/hour; based on candidate qualifications and experience. Benefits to be determined per SWS policy; at this time, only full-time staff receive benefits.

Summary of Whidbey Coordinator Duties: The Whidbey Coordinator assists in planning and supporting a variety of volunteer and community events and activities, fosters relationships with volunteers, community members and partners, and helps facilitate communications among all staff, committees, board, and members.

Specifically, this coordinator is expected to:
• Help recruit and maintain rapport and communication with Whidbey volunteers
• Provide direction and support for Whidbey volunteers
• Facilitate and coordinate volunteer involvement and training for SWS and with partner organization projects
• Maintain and manage volunteer and project records and data
• Oversee maintenance and purchase of equipment, supplies and physical inventory, including member requests for purchases (on Whidbey), within the allocated budget, filing reports as required
• Collaborate with other staff to design, develop, and implement new programs and materials including visual displays, fliers, posters, and other PR materials
• Coordinate with other staff for a unified SWS presence in the community and with partner organizations/programs in order to maintain mutually beneficial relationships, including attending meetings as requested
• Help maintain SWS IT data management and systems
• Maintain or help maintain and update the SWS websites and social media outlets
• Coordinate with other staff to identify opportunities, write and manage grants
• Collaborate with the ED (or designee) to manage human resource issues as they arise including coaching, support and when required, feedback to volunteers and/or a request for Board consideration
• Perform other duties as assigned

Experience Requirements:
• Education or experience in environmental science, education, citizen science, marine biology, outdoor education, or other related science
• Volunteer coordination experience
• Proficiency with standard office equipment and software including Microsoft Office (PowerPoint, Publisher, Excel, Word) and Google Business Suite, Adobe Acrobat
• Proficiency with web-based communication (MailChimp, WordPress)
• Excellent communication skills, both written and spoken
• Excellent human relations skills
• Ability to manage multiple and changing priorities
• Excellent organizational skills that demonstrate detail-orientation
• Demonstrate sound judgment and decision-making in an administrative setting
• Must have a valid driver’s license and a vehicle to use for work travel

In addition, successful candidates must have the ability to work remotely and alone and need to be able to maintain confidentiality when required. Enthusiasm for communicating science to various audiences is important. Knowledge of and experience with volunteer organizations is highly desirable. Candidates with experience with SWS/Beach Watchers/Marine Resources Committee or other local volunteer environmental organizations is a plus.
